Media and Content Permissions Policy

This policy provides the detailed legal and privacy information relating to the media consent requested by Belfast YMCA.

Scope of Permission Granted

By granting us media content permissions (e.g. ticking the explicit consent box on our online registration forms), you are granting full and explicit permission to Belfast YMCA to use Media (photographs, videos, and other content) featuring you and/or your child(ren) (e.g. image, voice) for the purposes of celebrating our work, sharing our positive impact, and promoting future sessions.

The scope of this use includes:

  • Print Materials: Leaflets, flyers, brochures, and promotional posters.

  • Organisational Website: The official Belfast YMCA website.

  • Digital and Social Media: Official Belfast YMCA social media channels (e.g., Facebook, Instagram, YouTube) and online event pages.

Terms and Declaration

Your consent to the use of Media is subject to the following terms:

  • Duration of Permission: This permission is ongoing until formally withdrawn by you in writing.

  • Voluntary Nature: Consent is voluntary and not a condition of participation in our programmes.

  • Anonymity Policy: Media will generally be used without identifying the full name of the child or parent. Belfast YMCA will never use a child’s full name in conjunction with their image online without securing separate, specific formal permission.

  • Compensation: No financial compensation will be provided for the use of the Media.

  • Ownership: All rights, including copyright, in the Media belong exclusively to Belfast YMCA.

Data Protection and Your Rights (GDPR/DPA 2018)

As the Data Controller, Belfast YMCA processes personal data related to Media and this Consent under the legal basis of Consent (Article 6(1)(a) GDPR).

Data Processed:

The personal data we process includes your name, contact details, your child’s name (for administrative purposes), and the Media itself (which constitutes personal data—image/voice).

Right of Withdrawal:

You have the right to withdraw this consent at any time.

  • To withdraw consent, please contact the YMCA office by email or post.

  • Withdrawal affects future creation and publication of new materials only. Materials already published and in circulation (e.g., printed flyers or posts already made on social media) cannot be recalled or edited.

Your Rights:

Under GDPR, you have the right to access your personal data, and to request rectification or erasure of your data, or restriction of processing (including Media).
